Covid 19 - Business Continuity Management Plan
The following information is intended to address the current situation with regards to the continuing spread of the Covid 19 virus, and how Scan Alarms will endeavor to protect our staff and customers going forward, and maintain our normal service.
1.PREVENTION & CONTAINMENT PROCEDURES
•E-mail sent to all staff advising them to follow professional advice issued from the Public Health Agency NI, NHS UK & HSA IE.
•Good hygiene techniques to be followed in regards to hand washing and contact with face, as per guidelines from medical professionals.
•Staff advised not to rely on Hand Sanitizers alone, as these are not proven to be totally effective in controlling the spread. Washing with soap and warm water advised.
•Office staff to wash hands regularly throughout the day, and use provided sanitizing wipes on surfaces in staff areas like Kitchen etc
•Office Staff advised to consume food at own workstation to avoid un-necessary contact with other members of staff.
•Field engineers and Sales staff advised to adhere to site containment and prevention plans when visiting for Installation, Maintenance and Servicing work.
•All staff advised to follow ‘Social Distancing’ techniques issued by the Health Authorities.
•Where customer signatures are required Field engineers will use an anti-bacterial wipe on PDA Devices, or ideally following consent, sign on behalf of the customer.
•Field engineers have very restricted access to stores and no access to the Scan Administration offices, Engineers will preannounce their attendance and will be dealt with individually and autonomously, thus reducing the risk of potential cross contamination.
•All staff advised to cover nose and mouth, with tissues, when coughing or sneezing and place used tissues in nearest bin.
•All staff to advise Senior management (Confidentially) of travel plans abroad, including routes of travel, i.e Airports, Ferries and duration of stay, and to limit personal travel outside of working hours.
•All staff advised against un-necessary contact with others (eg. Handshakes)
2.BUSINESS FUNCTION CONTINGENCIES
The following procedures and contingencies have been put in place, within the company to ensure the effective operation of the business, and service to our customers.
•Key personnel have been set up to have the ability to work from home. These include Senior Management, Sales and Accounts.
•Sales staff have been advised to minimize all face to face meetings and site visits.
•All non-critical service calls will be re-arranged in line with requests from customers (eg. PPM Visits)
•All non-essential installations will be re-scheduled on a case by case basis following consultation with our customers.
•Office will be closed to visitors and cold callers, unless prior authorization has been approved by completion of our visitor questionnaire.
